Chapter President

Term: 1-Year, Renewable

Common Teams/Groups: Chapter Board of Directors, All Committees & Task-Forces (Ex-Officio)

 

Required criteria:

• Must be a member of chapter
• Cannot serve in another officer position in chapter

 

Background:

• Be an active member of the Barbershop Harmony Society for at least 3-5 years. 
• Hold another chapter office or leadership position
• Demonstrated leadership skills
• Have strong people and organizational skills

 

Responsibilities: 

• Have an understanding of the ongoing duties and progress of all Board members and committees/teams. 
• Leads the chapter’s leadership team, plan and chair all chapter board of directors meetings
• Guides and facilitates the establishment & implementation of the chapter’s mission statement and supporting goals and objectives, and ensure consistency with Society objectives and purposes
• Immediately following chapter elections, appoint all Committee chairs and Committees. 
• Establish deadlines for committees, teams, and task forces to present reports and updates to the Board (examples: Nominating Committee, Music Committee/Team, Budget, etc.)
• Continually follow up with each Board member to ensure that all projects, goals and initiatives within that leaders purview are being accomplished and will meet the agreed upon deadlines.
• Evaluate the performance of the chapter's leadership team and take actions to improve if there are further opportunities. 
• Assess progress of the chapter’s annual plan and budget progress during the year and revise the plan as necessary, and ensure that all necessary forms are filed and monies correctly disbursed in cooperation with other leaders. 
• Ensure (alongside other applicable leaders) that a program of chapter activities is developed and carried out. 
• Serve as, or assign, the elected chapter delegate to your District House of Delegates (HOD). 
• Attend any scheduled Society, District or local training schools, seminars, etc. 
• Promptly handle any requests made by the District or Society.

 

Chapter Immediate Past President

Designated Authority: Chapter Bylaws (Required Position)

Elected by: Not Elected, Automatically filled after end of President’s Term

Term: As Necessary

Teams/Groups: Chapter Board of Directors, Nominating Committee, Assigned Task-Forces & Committees

 

Required criteria:

• Must be a member of chapter
• Must either be the most immediate past chapter president or a former chapter president (if there is a vacancy, see Chapter Bylaws for more information)

 

Responsibilities:

• Assist the current president and board in whichever tasks necessary
• Provide continuity of information from year to year within the board
• May serve as an appropriate Nominating Committee chair to help foster and cultivate future leaders of the chapter.

 

Chapter Secretary

Designated Authority: Chapter Bylaws (Required Position)

Elected by: Chapter Members

Term: 1-Year, Renewable

Common Teams/Groups: Chapter Board of Directors

 

Required criteria:

• Must be a member of chapter

 

Sample Background:

• Be an active member of the Barbershop Harmony Society for at least 1-3 years. 
• Demonstrated leadership skills
• Have strong people and organizational skills
• Computer & Technology skill and knowledge

 

Sample Responsibilities: 

• Serve as the corporate secretary of the chapter, taking minutes of all board of director meetings.
• Maintain and facilitate the report of membership records with the Society.
• Remain in contact with chapter members to assist in reminding them of their dues renewals. 
• Ensure that chapter legal files are maintained (i.e. bylaws, policies, chapter charter, Incorporation documents, insurance certificates, etc.)
• Maintain state or province incorporation status within the renewal periods as determined by their local government. 
• Facilitate all music (arrangements, learning media, etc.) purchases to ensure that it is properly purchased and licensed appropriately. 
• Report new chapter officers & leaders by updating the Society on an annual basis. 
• In cooperation with other chapter leaders, report chapter compliance filings to the Society when required. 
• Notify the Society when a current or former member passes away.
• Request and file appropriate show clearance & license applications from District and the Society. 
• Attend any scheduled Society, District or local training schools, seminars, etc. 
• Promptly handle any requests made by the District or Society.

 

Chapter Treasurer

Designated Authority: Chapter Bylaws (Required Position)

Elected by: Chapter Members

Term: 1-Year, Renewable

Common Teams/Groups: Chapter Board of Directors

 

Required criteria:

• Must be a member of chapter

 

Background:

• Be an active member of the Barbershop Harmony Society for at least 1-3 years. 
• Demonstrated leadership skills
• Have strong people and organizational skills
• Computer & Technology skill and knowledge
• Previous record or bookkeeping skill and knowledge

 

Responsibilities: 

• Prepare and submit anticipated income and expense information to Chapter Board for review
• Develop (with input from other chapter board members and leaders) an annual budget.
• Pay all bills promptly on receipt of billing from the Society office, district or other businesses.
• Prepare and file, on behalf of the chapter, governmental & regulatory tax returns and forms. 
• Present financial records to the chapter financial review committee for annual reviews. 
• Offer advice and make recommendations to the board regarding financial matters. 
• Perform such other financial assistance to the chapter as required. 
• In cooperation with other chapter leaders, report chapter compliance filings to the Society when required. 
• Attend any scheduled Society, District or local training schools, seminars, etc. 
• Promptly handle any requests made by the District or Society.

 

Chapter Board Member-At-Large

Designated Authority: Chapter Bylaws (Required Position)

Elected by: Chapter Members

Term: 1-Year, Renewable

Teams/Groups: Chapter Board of Directors, Assigned Task-Forces & Committees

 

Criteria:

• Can be a member of chapter
• Can be a non-member of the chapter

 

Background:

• Have familiarity with the Barbershop Harmony Society and Chapter 
• Demonstrated leadership skills
• Have strong people and organizational skills
• Hold a desire to advocate for and lead the chapter

 

Responsibilities: 

• Reflect and advocate the membership’s needs and desires
• Provide insight and advice on opportunities in and out of the chapter (community). 
• Support the and assist in the implementation of the goals & objectives of the chapter.
• Attend any scheduled Society, District or local training schools, seminars, etc. 
• Promptly handle any requests made by the District or Society.
• Proposed thought processes when making decisions as a Board Member At Large: 
  • how will this help us sing better?
  • how will this help us perform better?
  • how will this performance or package help us attract a younger aged audience?
  • how will this help expose our hobby to other communities (races, generations, socio-economic status, etc.)?
  • how will this make us a better chapter?
  • how will this outreach help us connect with other singers?

 

Chapter and/or Member Development

Background:

Responsibilities: 

• Facilitate new member recruitment efforts
• Establish and maintain member retention efforts (orientations, learning & growth opportunities, etc.)
• In cooperation with other chapter leaders, develop a plan to publicise chapter efforts specific to general potential member awareness
• Follow-up with absent or inactive members.
• Assist the Chapter Secretary with processing new member applications and reminding members of upcoming renewal options. 
• In partnership with other chapter leaders, ensure that a program of chapter activities is developed and carried out.
• Attend any scheduled Society, District or local training schools, seminars, etc. 
• Promptly handle any requests made by the District or Society.

 

Chorus Director

Teams/Groups: Music Committee/Team

 

Background:

• Demonstrated leadership skills
• Have strong people and organizational skills
• Background, knowledge, and education in music 
• Quartet experience helpful

 

Responsibilities: 

• Serve as a member of the Music Leadership Team
• Attend any scheduled Society, District or local training schools, seminars, etc. 
• Promptly handle any requests made by the District or Society.
• Prepare musically and conduct the chorus in annual shows, contests, and other public music events in which the chorus sings
• Participate in prospective chorus members musical fitness evaluation
• Regularly evaluate the musical contribution of associate/assistant directors
• Participate in the evaluation of the musical contribution of section leaders
• Assist in the preparation of a 1, 3, and 5-year musical plan
• Prepare a State of the Chorus report for the Chapter Board
• Build and maintain relationships with outside coaches and local music educators
• Encourage lifelong chapter member music education

 

Chapter Music & Performance

Teams/Groups: Chapter Board of Directors, Music Committee/Team, and Assigned Task-Forces & Committees

 

Background:

• Demonstrate leadership skills
• Possess strong people and organizational skills
• Have background and knowledge in music and performance 
• Quartet experience is helpful

 

Responsibilities: 

In conjunction with chapter leaders,

• Develop and coordinate a music leadership team and facilitate regular chapter music program planning . 
• Lead the development and plan around selection of music, and learning and performance opportunities. 
• Secure and select coaches and performance review opportunities. 
• Evaluate the development and implementation learning programs (i.e. Quartet Development, Youth, craft and personal instruction) 
• Plan the rehearsal segments of chapter meetings with the chorus director, as appropriate. 
• Direct and oversee the activities of support committee/team members. Specifically, those who are not directly involved in the teaching aspect of the music program and could include chorus manager, contest coordinators, uniform leaders, librarians, and quartet activity coordinators, etc.
• Serve as a liaison between the Chorus Director, Associate Directors, Assistant Directors and the Board of Directors. 
• Attend any scheduled Society, District, or local training schools, seminars, etc. 
• Promptly handle any requests made by the District or Society.

Webmaster oversees the Sarpy Serenaders'websites or servers. Working closely with the Board and Harmonisite (our website provider) to identify website needs and improve the user’s experience. Occasionally it is necessary to design or update website code working with HarmoniSite. Our Webmaster is also responsible for monitoring website traffic and creating features to track the number of site visitors, clicks or purchases that occur through the website if desired by the Board.

 

Chapter Program & Activities

Responsibilities: 

• Lead the development of a yearly program of chapter activities. 
• Work with leadership and music team to plan enjoyable chapter meeting formats.
• Direct the chapter meeting activities. 
• Direct activities of the program inter-chapter relations and community service committees/teams.
• Include a variety of activities, which can involve both members and their families. 
• Assist internal public relations leader, keeping members informed about coming events.
• Along with the music committee/team, promote quartetting within the chapter
• Attend any scheduled Society, District or local training schools, seminars, etc. 
• Promptly handle any requests made by the District or Society.

 

Chapter Marketing & Public Relations

Teams/Groups: Chapter Board of Directors, Marketing & Public Relations Committee/Team, and Assigned Task-Forces & Committees

 

Definitions: 

• Marketing is developing, delivering and packaging a message and/or product for sale. Includes marketing research, product planning and improvement, branding, positioning, sales (tickets, paid performances, merchandise), etc.
• Public Relations encompasses a variety of marketing activities that strengthen your credibility, enhance your image, and develop goodwill. These are usually targeted at an audience. Public relations involves communicating who you are, what you do, why you do it, and how you make a difference. It includes media relations, community relations, publicity, internal communications, etc.

• Excellent communication skill and knowledge

 

Responsibilities: 

• Develop and Implement a plan for Chapter related to internal (chapter/district) and external (public and media) audiences and promote the chapter and Society. 
• Facilitate the development of promotional material (i.e. flyers, brochures, web content, etc.) by utilizing known or outside resources (graphic designers, printers, photographers, etc.) to share the story and mission of the chapter and Society. 
• Maintain and facilitate the maintenance of a presence online (website, social media, etc.) 
• Lead effective communication and promotion of informative chapter activities through internal communication (i.e. newsletters, bulletins, etc.) and general external audiences (social media, website, etc.)
• Build and maintain relationships between chapter, media, local arts organization and other Society chapters. 
• Attend any scheduled Society, District or local training schools, seminars, etc. 
• Promptly handle any requests made by the District or Society.

  Collects articles from other chapter officers, watches for photo ops and stories to add to the newsletter and publishes once a month on the 1st or as close as possible.
